Client Policies & Booking Terms

At Define PMU we follow strict professional, legal and insurance guidelines to ensure all treatments are carried out safely and to the highest standard. By booking an appointment, you agree to the following terms.

1. Booking Policy

• A non-refundable booking fee is required to secure your appointment.

• This fee is deducted from the final treatment price on the day of your appointment.

• Credit/debit card details may be securely held in accordance with our cancellation policy.

• All patch tests, where applicable, must be completed at least 48 hours before treatment.

• It is the client’s responsibility to arrive on time and prepared for their appointment.

2. Cancellation Policy

• We require a minimum of 24 hours’ notice to cancel or reschedule any appointment.

• Cancellations or rescheduling with less than 24 hours’ notice will result in the full treatment fee being charged, as stated at booking.

• Booking fees and pre-payments are strictly non-refundable under any circumstances.

• Failure to complete required forms or provide necessary medical information constitutes a client cancellation and falls under the same 24-hour policy.

3. Medical & Consent Form Policy

• All clients must complete a full medical consultation and consent form before treatment.

• This information is required for insurance, licensing and safety.

• Incomplete, inaccurate or withheld information may prevent treatment from going ahead.

• Refusal to complete the required forms is classed as a client cancellation.

4. Contraindications

We cannot treat clients who are:

• Pregnant or breastfeeding

• Undergoing or recently completed chemotherapy

• Using Roaccutane/Accutane within the last 12 months

• Experiencing active skin conditions, infections or open wounds in the treatment area

• Taking medications or managing health conditions contraindicated for PMU

A full list of contraindications is provided during consultation and must be disclosed honestly.

5. Late Arrival Policy

• Arriving more than 10 minutes late may result in your appointment being cancelled.

• This is treated as a late cancellation, and the booking fee is non-refundable.

6. No Children Policy

• For safety and insurance reasons, children under 16 are not permitted in the treatment room.

7. Right to Refuse Treatment

Define PMU reserves the right to decline or discontinue treatment if:

• The procedure is unsafe

• The client is unsuitable for PMU

• Required information is not provided

• The client displays inappropriate or concerning behaviour

Booking fees remain non-refundable in these cases.

By booking an appointment, you confirm that you have read, understood and agreed to these terms.


Payment policy

All major credit cards accepted. All courses to be paid for in full at time of booking. Gift vouchers and pre-payments are non-refundable.

Children

For their safety and our insurance cover, we are unable to allow children or under 16's in our treatment room.

Client care

When booking an appointment you must inform us if you are pregnant, on medication, allergies or have any other medical condition that may affect your treatment. We may require a doctor’s letter.

We would appreciate you arriving 5 minutes before your appointment time is due to start to allow for you to relax and give you your full appointment time.
