Client Policies & Booking Terms

At Define PMU we follow strict professional, legal and insurance guidelines to ensure all treatments are carried out safely and to the highest standard. By booking an appointment, you agree to the following terms.

1. Booking Policy

• A non-refundable booking fee is required to secure your appointment.

• This fee is deducted from the final treatment price on the day of your appointment.

• Credit/debit card details may be securely held in accordance with our cancellation policy.

• All patch tests, where applicable, must be completed at least 48 hours before treatment.

• It is the client’s responsibility to arrive on time and prepared for their appointment.

2. Cancellation Policy

• A minimum of 24 hours’ notice is required to cancel or reschedule any appointment.

• Cancellations or rescheduling with less than 24 hours’ notice will result in the full treatment fee being chargeable, as stated at booking.

• Booking fees and pre-payments are strictly non-refundable under any circumstances.

• Failure to complete required medical or consent forms constitutes a client cancellation and falls under the same 24-hour policy.


3. Medical & Consent Form Policy

• All clients must complete a full medical consultation and consent form prior to treatment.

• This information is required for insurance, licensing and client safety.

• Incomplete, inaccurate or withheld information may prevent treatment from going ahead.

• Refusal to complete required forms is classed as a client cancellation, and booking fees remain non-refundable.

4. Results, Healing & Adjustments

• Permanent makeup is a process, and final results cannot be assessed until the skin has fully healed.

• Minor asymmetry during healing is normal due to facial anatomy, swelling and skin behaviour.

• All refinements, tweaks or adjustments are assessed and carried out at the scheduled top-up appointment only, once healing has occurred.

• Additional visits or early adjustments outside of the standard protocol are not included unless deemed clinically necessary by the practitioner.

5. Model & Discounted Appointments

• Model or discounted appointments are offered at a reduced rate in exchange for flexibility and learning purposes.

• These appointments follow the same professional standards but do not include additional visits or early tweaks outside the normal treatment schedule.

• All refinements are completed at the standard top-up appointment.

6. Contraindications

We cannot treat clients who are:

• Pregnant or breastfeeding

• Undergoing or recently completed chemotherapy

• Using Roaccutane/Accutane within the last 12 months

• Experiencing active skin conditions, infections or open wounds in the treatment area

• Taking medications or managing health conditions contraindicated for PMU

All contraindications must be disclosed honestly.

7. Late Arrival Policy

• Arriving more than 10 minutes late may result in your appointment being cancelled.

• This will be treated as a late cancellation, and booking fees remain non-refundable.

8. Conduct & Right to Refuse Treatment

Define PMU reserves the right to decline or discontinue treatment if:

• The procedure is unsafe or unsuitable

• Required information is not provided
• Communication becomes confrontational, disrespectful or undermines professional boundaries

In such cases, booking fees remain non-refundable.

9. Treatment Room Policy

• For safety, hygiene, concentration and insurance reasons, Define PMU operates as a one-to-one treatment space.

• Only the client receiving treatment is permitted in the treatment room at any time.

• Friends, partners, family members and children are not permitted to remain in the treatment room during consultations, treatments or top-up appointments.

• This policy applies to all appointments without exception and is non-negotiable.

• Failure to comply with this policy may result in the appointment being cancelled, and booking fees will remain non-refundable.

Please note: Define PMU is a one-to-one treatment space. Additional persons are not permitted in the treatment room.

• For safety and insurance reasons, children under 16 are not permitted in the treatment room.

10. Payment Policy

• All major credit cards accepted.

• All courses must be paid in full at the time of booking.

• Gift vouchers and pre-payments are non-refundable.

11. Data Protection

All client details are kept secure in accordance with data protection legislation. Please refer to our Privacy Policy for further information.
